Every importer of refrigerants must contribute to the national Product Stewardship Scheme (PSS) — reporting what they import, signing legal agreements, and making financial contributions. For Refrigerant Reclaim Australia (RRA), the not-for-profit organisation that oversees this scheme nationally, managing thousands of contributors and wholesalers had become an increasingly heavy manual burden.

A full self-service portal for RRA's 5,000+ registered contributors — including importers, technicians, and businesses — to manage their profiles, submit reports, and track their compliance status. Each member account includes detailed profile management, import quantity tracking by refrigerant type, a full audit history, and a dedicated admin view with login activity, email logs, and ATO compliance metrics.
DocuSign E-Signature Integration
PSS agreements are now completed entirely online. Contributors receive, review, and sign their legal agreements via DocuSign — with the full agreement lifecycle tracked and stored against each member record: submission, approval, non-compliance flags, and cancellations. What previously took days or weeks of back-and-forth is now completed in minutes, with zero paper and a complete digital audit trail.
Online Reporting Portal with Multi-Stage Workflow
Members submit refrigerant import reports through a structured, validated online form. Reports progress through a defined multi-stage review workflow — giving RRA administrators clear visibility over every submission from lodgement through to finalisation. Xero invoices are automatically generated at the appropriate workflow stage, with no manual triggering required.
Xero Accounting Integration
Every billable event in the portal — report submissions, registration fees, and cylinder charges — automatically creates or updates an invoice in Xero via API. Financial records are always current and audit-ready, eliminating manual data entry and giving RRA's finance team real-time reconciliation without spreadsheets.
Wholesaler Portal & Cylinder Request Management
A dedicated interface for RRA's 2,000+ registered wholesalers to submit cylinder collection and delivery requests online. The system handles both standard cylinder requests and ISO tank requests for bulk refrigerant volumes, with each request tracked through an approval and dispatch workflow. Branded collection and delivery order forms are automatically generated by the system when a request is approved.
ChemCouriers Automated Dispatch via FTP
When a cylinder request is approved, dispatch data is automatically sent to ChemCouriers via FTP — triggering courier booking without any manual intervention. Numbered pick-up and delivery order forms are produced by the system, ready for the carrier, eliminating the phone and email coordination that previously consumed significant staff time.
SendGrid Email Automation
Transactional emails for every key event — registration confirmations, report receipts, invoice notifications, payment confirmations, and agreement status updates — are delivered automatically via SendGrid. Members are kept informed throughout every workflow step without requiring any manual follow-up from RRA staff.
Admin Dashboard & Compliance Reporting
A central admin dashboard gives RRA's team real-time visibility across the entire national program — registered members, active contributors, agreement statuses, pending reports, and cylinder request volumes — all in one place. Detailed per-member activity logs, login histories, ATO compliance metrics, and OTP security records are accessible at a glance.
